Wild Time Woodland Parties

A really great way for your children to celebrate special days with their friends and you can tailor your party to suit the interests of the children so that all Wild Time Woodland adventures are quite unique.

We have lots of ideas, particularly things we know work well but we are always happy to discuss your ideas too or include a specific theme.

Our parties are aimed at either Pre-school 1-4 years or School age children 5-11 years old but there is some flexibility in that, so do get in touch to discuss other options.

Stay & Play Pre-school age 1-4 years

For these parties, a parent / carer must attend with each child and are responsible for them for the duration of the party – our ‘job’ is to ensure everyone is having a great time and all the activities are running smoothly, we aim to make sure there are plenty of things to do for everyone to enjoy and that everyone is safe and happy.

Because of the size of the site, numbers are restricted to 15 children (including the party child and siblings but not including babies under 12mths)

Drop and Go School age 5-11 years

Parties for this older age group are drop and go, so the only adults on site are our staff and no more than 4 adult members of the immediate family of the party child – if it is a joint party please discuss this further with us – (For safeguarding reasons we cannot have parents of guests stay unless there are specific reasons such as behaviour / medical reasons).

All children attending have to be between the age of 5-11 years old, we are happy to discuss taking younger children if they are members of the immediate family and a parent is present – parents of these children would be expected to take full responsibility for their child, these children would be included in the number of party guests, as would any older siblings up to the age of 12. A maximum of 20 children can attend these parties, (including the party child and siblings but not including babies under 12mths)

Included in the price are a minimum of 2 members of Staff, insurance, PDF party invitations and exclusive use of the site, as well as the all important camp fire and marshmallow toasting accompanied by a shot of hot chocolate!

Once in the woodland we will sit around the fire circle and go over the Wild Time Woodland rules and explain all the activities on offer. The children will play a team game and then have free time to build dens, look for bugs, play in the mud kitchen, relax in a hammock, paddle in the stream, etc. During this time there will also be at least one craft activity depending on how you have tailored your party.

We will call the children back to the fire circle about an hour into the party and they will wash their hands and collect their food, which they can then take to their chosen spot in our woodland site and enjoy! If cooking on the camp fire is part of your party – we will do this with the children all gathered round the fire where they can sit together and eat it once cooked – after which we will toast marshmallows for s’mores and have our hot choc shots to wash it all down – there’ll be plenty of drinking water available too.

Once everyone has eaten and food has been tidied away, we will sing ‘Happy Birthday’ as the cake is presented to the birthday child – we will then pass the cake back to you so you can cut and wrap as you wish.

We will play another group game, such as a scavenger hunt or allow them more free time if they prefer. About 20mins before the end we will get them to make sure they have all their things and then prepare to leave…we will check each child off as we hand them over directly to their parent / carer.

PARTY BAGS

Bags will include a maximum of 5 gifts for example: a twig pencil, a bird glider, a magic bean seed with a pot/ compost and planting instructions, a wooden keyfob, a small magnifying glass, a butterfly on a stick, and of course, some sweet treats (contents will vary depending on availability but there will be an emphasis on natural / sustainable materials and non plastics). Items will be bagged ready to hand out at the end of your party.

BUSHTUCKER TREAT CONES

Filled with nature themed ‘penny sweets’ and encased in bio-degradable acetate with twine – an essential survival snack pack for weary wild-timers!

CAMOUFLAGE FACE PAINT

The perfect way to ‘disappear’ amongst the trees and foliage!! Great when playing team games or just to really embrace the Wild!

£1 per child

COLOURED FACE PAINTING

Be a fairy princess or a superhero, or perhaps a wild tiger cub! Skin friendly and washable face paints for an extra edge to creative play!

£2.50 per child

WHAT TO WEAR

We will supply you with an information sheet to give to your guests with their invitations. But we highly recommend old clothes, waterproofs and outdoor shoes/ boots – Wellie boots are best, whatever the time of year – even if it’s not raining.

Please wear: Old clothes, layers are best, a hat, gloves and scarf if cold and sun hats in the Summer.

DO NOT WEAR: Sandals, flip-flops, shorts, short sleeves.

Arms and legs need to be covered, even in the Summer, as this helps protect children from scratches, stings, toxic plants, bites and sunburn.

Please apply sun cream (and insect repellent) prior to leaving home.

WHAT TO BRING

A bag to take home any presents in.

if you would like us to provide food to be heated over the fire, we can discuss options once your party date is secured.

If you are doing your own food and drinks: Please bring food boxed or bagged ready to hand out to children. You will need plenty of drinks for your guests, particularly of the weather is hot and we will always have a supply of drinking water too.

No nuts or nut products please

Remember to check any allergies or dietary requirements of your guests.

If you are doing your own cake you will need a cake/ candles/ a knife and something to wrap the slices in, as well as a container to carry it back home in.

WEATHER

The party will go ahead even if pouring with rain, we believe there is no such thing as the wrong weather, just the wrong clothing.

Children actually have more fun if it is raining, but, we will always string up a few extra tarpaulins for shelter if bad weather is forecast.

The only time we cancel a party because of the weather is if there is thunder and lightening or high winds forecast.

We cancel parties very rarely and only when it is too dangerous to be in the woods – a little bit of rain won’t put us off!

TOILET

We have a portable toilet in a tent on site for the children to use.

HOW MUCH DOES A PARTY COST?

Prices vary slightly depending on which age group your party is for – see below.

Babies under one year old do not count as a guest if they are accompanying an older sibling – but they must be with their parent / carer and remain the responsibility of their parent / carer at all times.

A non-returnable deposit of £100 is required when booking.

You will be invoiced for any extras along with your standard party fee and the remainder should be paid at least a week prior to the party.

PARTY FEES

Drop and go parties – for ages 5-11

£250 for up to 20 children

£250 is a minimum charge even if you have less than 20 children.

Stay and play parties – for pre-school ages 1-4

£200 for up to 15 children

£200 is a minimum charge even if you have less than 15 children.

CANCELLATION

Once the deposit is made it is non refundable if you change your mind.

Once the balance is paid it is non refundable, however, if there are extenuating circumstances which cause you to have to cancel –  we will do our very best to offer you an alternative date.

If you wish to change the date of your party less than 10 days prior to the party date a £50 administration fee will be charged.

Parties will go ahead if it is raining or snowing, however, if thunderstorms or high winds are forecast, for everyone’s safety, the party will be cancelled and you will be offered an alternative date, as soon as we have availability. It is very rare that we cancel sessions and it would only be when it is too dangerous to be in the woods – a little bit of rain won’t put us off!

ONCE YOU HAVE BOOKED YOUR CHILD’S PARTY

Once you have booked, completed the party booking information and paid the deposit, you will receive the invitations via email within 5 working days. If you would like them to be personalised with a picture of the birthday child / children that can be arranged. If you would like printed invitations to be sent to you there is an additional £5 fee.

The invitations will include information on location, clothing & footwear for your guests and they will also be asked to complete a consent / medical form. We cannot accept a guest unless we receive a consent form for them prior to the party.

We will then be contacting you approximately 2 weeks prior to the party to discuss payment of the balance and at this point you will be required to supply:

The full name of each child attending the party along with the names of any adults remaining on site (maximum a total of 4 family members for drop and go parties).

We will then be able to let you know whose medical form we have not received and it will be your responsibility to chase any missing forms.

COVID

Should any child due to attend a party with us or any member of their household, develop symptoms of Covid prior to the party, they should not attend the party but should stay at home and follow government guidelines. Should anyone in your household develop symptoms within 3 days after the party it is your responsibility to inform us immediately so that we can also follow government guidance  and inform anyone else who may be affected.
